Retail Offices

Retail offices need steady comfort where staff work and customers wait, but not every area needs the same setting. Airzone designs zoned air-conditioning for front counters, back offices and meeting rooms with room-by-room control.

Different parts of a retail office need different temperatures

In a retail office, the front counter often faces frequent door opening, customer traffic and sunlight through shopfront glazing. The back office can be smaller, packed with computers, printers and staff, and it usually holds heat long after the public area has cooled down. A single thermostat for both spaces can leave one side too cold and the other side too warm.

We design zoned systems so the reception or sales counter can run on one schedule while the admin area, manager’s office and boardroom run on another. That helps with comfort, but it also cuts waste. In Johannesburg and Pretoria, where mornings can be cool and afternoons warm, separate control makes daily operation simpler for your team.

Typical system set-up for a retail office fitout

Most retail offices suit a ducted system with motorised dampers, a main supply unit and smart thermostats in the key rooms. The layout depends on the floor size, ceiling space, glass area and how the business uses each room. For a smaller office above a retail floor, we may split the space into just two zones. For a larger branch in Sandton, Randburg or Centurion, three to five zones is often better.

  • Ducted indoor unit or paired units feeding multiple rooms
  • Room-by-room dampers for front office, admin and private rooms
  • Smart thermostats with daily and weekly schedules
  • Fresh air and return air set-up planned around occupancy
  • Controls programming so the system does not fight itself

We also look at backup power planning. If the site has generator or inverter supply, the air-conditioning load has to match that capacity. There is no use installing a big system that trips every time load-shedding ends or power comes back on with a surge.

Planning advice before you install

Good zoning starts with a proper site assessment and load calculation. That tells us how much heat each area gains from people, computers, lighting and sun through the windows. It also shows where duct runs can fit without wasting ceiling height. In older office stock around Pretoria East or central Johannesburg, ceiling space can be tight, so planning matters before any ceiling is opened.

We normally check the following:

  • How many staff sit in each room during the day
  • Which spaces have glass, west-facing walls or direct sun
  • Whether doors stay open to the retail floor or remain closed
  • Where noisy equipment sits, like printers or server cabinets
  • How often the office is occupied after trading hours

If a business only needs the front counter cooled during trading and the back office after 13:00, the schedules can be set that way. That is where zoned control saves money without making people uncomfortable.

Common mistakes we correct on retail office sites

We are often called in after a rushed install has left the office with cold drafts at the counter and hot spots in the manager’s room. Another issue is oversizing. A unit that is too large cools fast but does not remove humidity properly, which is a real problem in coastal air and in busy premises where doors open all day. Even in Gauteng, dry air can still feel sticky if the system short-cycles.

Other mistakes include poor return air placement, dampers that were never balanced, and thermostats mounted next to copy machines or in direct sun. Those faults cause uneven temperatures and higher running costs. If the system has no proper control logic, one zone may cool while another zone keeps calling for more cooling, so the plant runs harder than it should.

We also see maintenance skipped until a fault appears. Seasonal servicing helps catch dirty filters, low gas levels, blocked drains and worn actuators before the first hot spell or the year-end rush.

What retail offices can expect to budget

Budget depends on floor size, the number of zones, ceiling access and whether the fitout is new or a retrofit. For a small retail office in Johannesburg or Pretoria, a basic zoned package may start from about R85,000 to R140,000. Medium offices with several rooms and a more detailed controls set-up often sit between R140,000 and R280,000. Larger premises, or offices with complex duct routes and upgraded controls, can run from R280,000 upwards.

For budgeting, it helps to separate the work into parts:

  • Site assessment and load calculations
  • System design and controls programming
  • Equipment supply and installation
  • Balancing, testing and handover
  • Ongoing servicing and fault finding

Retrofit jobs can cost a bit more if ceilings must be opened or existing ducts need rework. New builds are usually easier to plan and can save money over the life of the system. Either way, the right zoning usually pays back through better control and fewer complaints from staff.

How we work with retail office teams in Gauteng

Airzone works from Johannesburg with Pretoria coverage, including Sandton, Randburg, Centurion and Pretoria East. Our team handles site assessments, design, installation, controls programming and after-sales support. Ian Mokoena leads the business, with Naledi van Wyk on operations, Kagiso Dlamini on HVAC design, Reece Naidoo on installation supervision, Ayanda Khumalo on service coordination and Megan Pretorius looking after customer support.

For retail offices, the main goal is simple: keep the customer-facing area welcoming and the back office productive without wasting energy. We plan each zone around how the site really runs, not just how the plan looks on paper. If you are fitting out a new office or correcting an older system that never felt right, we can size it properly and keep the control simple for your staff.

What clients say

Questions we get asked

Can one system cool the front counter and back office at different settings?

Yes. With zoned ducting, room dampers and separate thermostats, each area can run on its own temperature and schedule.

Do you handle retrofit work in older office buildings?

Yes. We do retrofit installations, airflow balancing and system upgrades for existing premises in Johannesburg and Pretoria, including buildings with limited ceiling space.

What maintenance does a retail office system need?

Seasonal servicing, filter checks, drain cleaning, airflow balancing and fault finding when there is poor cooling or uneven temperatures.
